The Lawrence Arts Center is hiring for an Office manager.  This position will ensure efficient and effective operations of the front desk.  The schedule will include standard day shifts.  Fill in shifts required to ensure coverage during business hours, 9 am – 9 pm Sunday-Saturday.  This is a full-time exempt position.

Preferences for applicants:

1.     Salesforce/CRM experience

2.     Experience in accounting processes such as accounts receivable, collections, etc.

3.     Comfortability with standing workstations with leaning stools (accommodations available upon request)

4.     Comfortability with a role of security within the building with the Director of Operations and Facilities

5.     Understanding of inter-departmental communications and ability to effectively communicate for each individual scenario.

Position requirements

This position includes performing all front desk administrative assistant duties such as:

  • CRM account management, entering and editing payments, and daily reconciliation.
  • Maintain an expectation of excellent customer service with the front office team.
  • Directly train, supervise, and evaluate 5-6 front desk staff members.
  • Coordinate front desk staffing schedule, ensure all shifts are covered, and be available for backup when necessary.
  • Facilitate training and communication for each team member through various modes- staff meetings, individual training meetings, etc.
  • Update and maintain inter-office communication platforms such as: Salesforce announcements, Outlook and Google calendars, front desk handbook, etc. Develop and implement front office policies and procedures in conjunction with other Arts Center management.
  • Oversee box office and coordinate ticketed events coverage, point of sale, and building-wide needs with Box Office Manager, and Director of Performing Arts.
  • Oversee office supply inventory and ordering, maintain office equipment, copier contract, monitor efax.
  • Escalate things for troubleshooting or repair.  Work with the Director of Operations to develop and monitor yearly budget and process monthly payroll for hourly staff.
